Add Attributes to a New Product

Setting up item attributes for a new product in Business Central? This guide walks you through the first-time attribute setup process.

What you'll accomplish: Add the 2 required attributes (plus any additional specs) to a new product so it can sync to the website.

Time required: 5 minutes

What you need:

  • Access to Business Central

  • Product item card open

  • Collection name from SharePoint

  • Product category (Pendants, Chandeliers, Wall Mounts, or Ceiling Mounts)


Before You Start

Make sure you have:

1. The product's SKU number

  • This should already be in the item card

  • Example: 12345-022

2. The correct collection name

  • Check SharePoint for the exact folder name for the family name

  • Example: Belluno Collection or Sorrento Collection

  • Must match SharePoint exactly

3. The product category

  • Determine which category: Pendants, Chandeliers, Wall Mounts, or Ceiling Mounts


Step 1: Open the Attributes Window

1. Locate your product in Business Central

  • Search for the item by SKU number

2. Open the item card

  • Select the product to open its item card

3. Navigate to Attributes

  • From the main menu: Item > Attributes

  • Or use the sub menu navigation

  • The attributes table will open on your screen

Step 2: Add Required Attribute #1 - Category

1. Add a new attribute row

2. Select "Category - Product Category" as the attribute name

3. Enter the value from one of these options:

  • Pendants

  • Chandeliers

  • Wall Mounts

  • Ceiling Mounts

Important: These are the only valid category values for the website currently.


Step 3: Add Required Attribute #2 - Collection Name

1. Add another attribute row

2. Select "Collection Name" or "Collection" as the attribute name

3. Enter the collection name exactly as it appears in SharePoint

  • Example: Belluno

  • Example: Sorrento

  • Must match the SharePoint folder name precisely

Important: Go to SharePoint and verify the folder name before entering it. Even small spelling differences will break the mapping.


While only the 2 attributes above are required, you can add product specifications that will display on the website:

Common optional attributes:

Dimensions:

  • Must follow formatting standards (see Attribute Formatting Standards)

  • Example: 10" L x 5" W x 20" H

Finish:

  • Product finish options

  • Example: Chrome, Brushed Nickel, Matte Black

Wattage:

  • Electrical specifications

  • Example: 60W

Material:

  • Construction materials

  • Example: Aluminum, Glass, Steel

Bulb Type:

  • Compatible bulb information

  • Example: LED, E26, G9

Add any other product specifications that would be useful on the product page.


Step 5: Save and Close

1. Review your attributes

  • Verify Category is one of the 4 valid options

  • Verify Collection Name matches SharePoint exactly

  • Check any additional attributes for accuracy

2. Close the attributes window

  • This automatically saves your changes

3. Close the item card

  • Changes are saved to Business Central


What Happens Next

After adding attributes to a new product for the first time:

  1. Save and close - That's it, no further action required

  2. Backend automatically fetches data - System detects the new attributes

  3. Product maps to SharePoint - Backend connects BC data to SharePoint folder

  4. Product syncs to website - Assuming SharePoint folder exists with assets

Sync timing: 10-15- seconds typically. The product will appear on the website under its collection.

No flow required: For first-time attribute setup, you don't need to run any flows. The backend system automatically processes new products.


Important Notes

Required vs Optional

The 2 required attributes are non-negotiable:

  • Category - Product Category

  • Collection Name

Without these, the product will not sync to the website. The backend system cannot map the product correctly.

All other attributes are optional but recommended for better product pages.


SharePoint Folder Must Exist

The product won't appear on the website until both conditions are met:

  1. ✅ Attributes configured in Business Central

  2. ✅ Product folder exists in SharePoint with images/assets

Order doesn't matter - you can set up BC first or SharePoint first. The backend will sync once both are complete.

Collection Name Matching

The Collection Name attribute must match the SharePoint collection folder name exactly:

In SharePoint: Documents / Website assets / Collection placeholder images / Belluno Collection

In Business Central: Collection Name = Belluno

If they don't match, the product won't map to the collection correctly.


Validation Checklist

Before considering the attributes complete:


Troubleshooting

Issue: Not sure which category to use

Solution:

  • Pendants - Hanging fixtures suspended from ceiling

  • Chandeliers - Multi-light ceiling fixtures

  • Wall Mounts - Fixtures mounted to walls (sconces)

  • Ceiling Mounts - Fixtures mounted directly to ceiling (flush or semi-flush)


Issue: Don't know the collection name

Solution:

  • Open SharePoint

  • Navigate to: Documents / Website assets / Collection placeholder images

  • Find the collection folder

  • Copy the exact folder name

  • Use that name in Business Central


Issue: Product has no collection

Solution:

  • Every product needs a collection assignment

  • If no collection exists, create one in SharePoint first

  • Then assign the product to that collection


Issue: Added attributes but product not on website

Solutions:

  • Wait 10-15 minutes for sync

  • Verify SharePoint product folder exists with images

  • Check that both required attributes are present

  • Confirm Collection Name matches SharePoint exactly

  • Check category is one of the 4 valid values


Common Scenarios

Scenario 1: Brand new product, new to both BC and SharePoint

  1. Create item in Business Central

  2. Add the 2 required attributes

  3. Add optional spec attributes

  4. Save and close

  5. Create product folder in SharePoint

  6. Upload product images and assets

  7. Backend syncs automatically - product appears on website

Scenario 2: Product exists in BC, now adding to website

  1. Open existing item card

  2. Navigate to attributes

  3. Add the 2 required attributes (if missing)

  4. Add optional attributes

  5. Save and close

  6. Create SharePoint folder and upload assets

  7. Product syncs to website

Scenario 3: Multiple products in same collection

  1. Add attributes to first product (include Collection Name)

  2. For subsequent products in same collection, use same Collection Name

  3. All products map to the same collection on website

  4. Collection page shows all products together

Scenario 4: Product with complex dimensions

  1. Add required attributes first

  2. Add dimension attribute

  3. Follow formatting standards: 10" L x 5" W x 20" H
