Remove a Collection

Need to take a collection off the website? This guide covers removing an entire family collection from the Our Collections page.

What you'll accomplish: Delete a collection folder from SharePoint to remove the collection (and all its products) from the website.

Time required: 2-3 minutes

What you need:

  • Access to SharePoint (Marketing Assets for 2023 directory)

  • Confirmation you want to remove this collection


Where You're Working

SharePoint Directory:

Documents / Website assets / Collection placeholder images

Deleting a folder here triggers the backend system to remove the collection from the website.


Important: What Gets Removed

When you delete a family collection folder, here's what happens:

Removed from website:

  • ✅ The collection itself (no longer appears on Our Collections page)

  • ✅ All products within that collection (they won't display on the website)

NOT removed:

  • ❌ The family collection data in Business Central (it stays there)

  • ❌ Individual product folders in SharePoint (they remain in the Products directory)

Why? The backend system monitors deletion requests initiated by users from SharePoint. When you remove a folder, a deletion event is triggered that removes the collection from the website, but the data remains in Business Central for record-keeping.


Step 1: Navigate to the Collection Folder

Go to the Collection placeholder images folder in SharePoint.

You'll see all your existing family collection folders:

Locate the collection you want to remove.


Step 2: Delete the Collection Folder

1. Select the collection folder you want to remove

Select the collection folder and click the Delete button

2. Delete it

  • Right-click and select "Delete"

  • Or use the Delete button in the SharePoint toolbar

3. Confirm the deletion when prompted

That's it. The folder is deleted from SharePoint.


What Happens Next

Once you delete the collection folder:

  1. Backend detects the deletion event - The monitoring system picks up the triggered event

  2. Deletion request is processed - System validates and processes the removal

  3. Website is updated - Collection is removed from the Our Collections page

  4. Products within the collection are hidden - They no longer display on the website

Sync timing: Typically 10-15 minutes. Refresh the Our Collections page and the collection will be gone.


What Stays in Business Central

The family collection data remains in Business Central even after you delete the SharePoint folder. This is intentional. Business Central keeps historical records.

If you want to completely remove the collection:

  1. Delete the SharePoint folder (removes from website)

  2. Manually archive or delete the collection in Business Central (optional, for data cleanup)

Most of the time, you only need to delete from SharePoint. The website is what users see.


What About the Products?

When you remove a collection, the products that were assigned to that collection also disappear from the website.

Your options for the products:

Remove products individually

  • Delete individual product folders from SharePoint if you want to fully clean up

Troubleshooting

Issue: Collection still showing on website after 15 minutes

Solutions:

  • Verify you deleted the actual collection folder (not just files inside it)

  • Refresh your browser cache (hard refresh: Ctrl+Shift+R or Cmd+Shift+R)

  • Check SharePoint to confirm the folder is actually gone

  • Wait a bit longer. Sometimes sync takes up to 20 minutes


Issue: Want to restore a deleted collection

Solutions:

  • Don't restore from SharePoint's recycle bin - Restoring doesn't trigger a SharePoint event, so the backend won't detect it

  • Instead, recreate the collection from scratch following the Add a New Collection guide

  • This ensures the backend properly detects the new collection as a triggered event


Issue: Products disappeared but collection is still there

Solutions:

  • You might have deleted product folders instead of the collection folder

  • Collection remains but has no products to display

  • Either delete the collection folder or add products back to it


Common Removal Scenarios

Scenario 1: Discontinuing an entire product line

  1. Delete the collection folder from SharePoint

  2. Collection and all its products disappear from the website

Scenario 2: Rebranding a collection

  1. Don't delete the old folder yet

  2. First create the new collection with the new name (see Update a Collection)

  3. Migrate assets to the new collection

  4. Then delete the old collection folder

Scenario 3: Merging collections

  1. Reassign products to the target collection in Business Central

  2. Wait for products to sync under the new collection

  3. Delete the old collection folder once products have moved

Scenario 4: Seasonal collection ended

  1. Delete the collection folder from SharePoint

  2. Products disappear from the website



Pro tip: Once you delete a collection, you'll need to recreate it from scratch if you want it back. SharePoint's recycle bin restore doesn't trigger the backend events needed to sync it to the website, so always recreate using the Add a New Collection guide rather than trying to restore from the recycle bin.
