Update Product Names

The product name that appears on the website is built from two fields in Business Central: the No. field (SKU) and the Description field. This guide shows you how to update product names correctly.

What you'll accomplish: Change how a product's name displays on the website by updating the No. and Description fields.

Time required: 3-5 minutes

What you need:

  • Access to Business Central item card

  • New SKU number (if changing)

  • New product description details


How Product Names Work

The backend system captures data from two text fields and restructures them to create the product name on the website:

Field 1: No. (SKU number)

  • Contains the full SKU

  • Example: 12345-10, 10101-01, 12345-02-99

Field 2: Description (Product details)

  • Contains: family name / comma / description / comma / finishes

  • Example: Sorrento, 10 Light LED Chandelier, Chrome

How they combine on the website: The system uses both fields to build the complete product name in a specific order.


Product Name Structure

The No. Field (SKU)

What to enter:

  • The complete SKU number as it appears in your system

  • Include all digits and dashes

Format examples:

  • 12345-10

  • 10101-01

  • 12345-02-99

  • 98765-022

Important: This must match:

  • The SKU in your product database

  • The SharePoint product folder name

  • Any reference to this product elsewhere


The Description Field

What to enter:

  • Structure: [Family Name], [Description], [Finishes]

  • Separated by commas with spaces

Format: Family name, Product description, Finish

Example:

Breaking it down:

  • Family name: Sorrento (the collection)

  • Description: 10 Light LED Chandelier (what it is)

  • Finish: Chrome (material/color)

How to Update Product Names

Step 1: Search for the Item

1. Open Business Central

2. Search for the item number

  • Use the SKU to find the product

  • Example: Search for 12345-10

3. Select the item

  • Click to open the item card


Step 2: Focus on the Item Section

1. Locate the Item section of the item card

  • This section contains the No. and Description fields

2. Verify you're in the right section

  • Should see "No." field

  • Should see "Description" field


Step 3: Update the No. Field (If Needed)

1. Check the No. field

  • Contains the current SKU

2. Make changes if the SKU is incorrect or changed

  • Enter the correct full SKU number

  • Example: 12345-10 or 10101-01-99

3. Ensure it matches SharePoint

  • The SharePoint product folder should be named with this SKU

  • If changing the SKU, you'll need to update SharePoint too

Step 4: Update the Description Field

1. Click in the Description field

2. Make necessary changes

  • Follow the structure: Family, Description, Finish

  • Use commas with spaces to separate parts

  • Check spelling and details

Examples of common changes:

Changing family name:

  • Old: Sorrento, 10 Light Chandelier, Chrome

  • New: Belluno, 10 Light Chandelier, Chrome

Changing description:

  • Old: Sorrento, 8 Light Chandelier, Chrome

  • New: Sorrento, 10 Light LED Chandelier, Chrome

Changing finish:

  • Old: Sorrento, 10 Light Chandelier, Chrome

  • New: Sorrento, 10 Light Chandelier, Brushed Nickel

Changing multiple parts:

  • Old: Sorrento, 10 Light Chandelier, Chrome

  • New: Verona, 12 Light LED Chandelier, Matte Black


Step 5: Save and Close

1. Tap anywhere on the item card

  • This triggers auto-save

  • Changes are saved to the item

2. Close the item card

  • Changes are now in Business Central

3. No further action required

  • The product name update syncs automatically

  • No flow needs to be run for name changes


What Happens Next

After updating the No. and Description fields:

  1. Changes are saved in Business Central

  2. Backend detects the update automatically

  3. Product name syncs to the website

  4. Website displays the updated name

Sync timing: 5-10 minutes typically. Refresh the product page to see the new name.

No flow required: Unlike attribute changes, product name updates don't require running the flow. Just save and close.


Important Notes

Collection Name Must Match

In the Description field, the family name should match your collection setup:

SharePoint collection folder: Belluno Collection Business Central Collection Name attribute: Belluno Collection Description field family name: Belluno

Note: The Description uses just the family name (without "Collection"), but it should be consistent with your collection naming.


Comma Placement Matters

The backend expects the Description field to have commas separating the three parts:

Correct:

  • Sorrento, 10 Light Chandelier, Chrome

  • Belluno, Wall Mount, Brushed Nickel

Incorrect:

  • Sorrento 10 Light Chandelier Chrome (no commas)

  • Sorrento,10 Light Chandelier,Chrome (no spaces after commas)

Use: Comma + space between each part


SKU Changes Require SharePoint Updates

If you change the No. field (SKU), remember:

Also update in SharePoint:

  1. Product folder name must match new SKU

  2. All image file names must use new SKU

  3. Asset file names must use new SKU

Common Scenarios

Scenario 1: Fixing a typo in product name

  1. Search for item

  2. Open item card

  3. Click in Description field

  4. Fix the typo

  5. Tap anywhere to save

  6. Close item card

  7. Name updates on website after sync


Scenario 2: Product moved to different collection

  1. Search for item

  2. Open item card

  3. Change family name in Description field

    • Old: Sorrento, 10 Light Chandelier, Chrome

    • New: Belluno, 10 Light Chandelier, Chrome

  4. Also update Collection Name attribute (see Update Product Attributes)

  5. Save and close

  6. Product appears under new collection with new name


Scenario 3: Product SKU is changing

  1. Search for item by old SKU

  2. Open item card

  3. Update No. field with new SKU

  4. Verify Description field is still correct

  5. Save and close

  6. Update SharePoint folder and file names to match new SKU

  7. Both platforms now use new SKU


Scenario 4: Adding finish options to name

  1. Open item card

  2. Update Description field to include finish

    • Old: Sorrento, 10 Light Chandelier

    • New: Sorrento, 10 Light Chandelier, Chrome

  3. Save and close

  4. Website now shows finish in product name


Scenario 5: Updating multiple name components

  1. Open item card

  2. Update Description with all changes

    • Old: Sorrento, 8 Light Chandelier, Chrome

    • New: Belluno, 10 Light LED Chandelier, Brushed Nickel

  3. If family changed, also update Collection Name attribute

  4. Save and close

  5. Complete name transformation syncs to website


Troubleshooting

Issue: Updated name not showing on website

Solutions:

  • Wait 10-15 minutes for sync

  • Verify you tapped to trigger auto-save

  • Check that item card was closed

  • Refresh the website product page

  • Verify Description field was actually updated


Issue: Product name displaying incorrectly on website

Solutions:

  • Check Description field structure (Family, Description, Finish)

  • Verify commas are used with spaces

  • Check for typos in the Description field

  • Ensure No. field has correct SKU


Issue: Family name in product name doesn't match collection

Solutions:

  • Update Description field family name to match

  • Verify Collection Name attribute matches SharePoint

  • Ensure consistency across all three (Description, Attribute, SharePoint)


Issue: Changed SKU but product showing under old SKU on website

Solutions:

  • Verify No. field was actually updated

  • Check that SharePoint folder name matches new SKU

  • Ensure image and file names in SharePoint use new SKU

  • Wait for sync to complete

Pro tip: When creating new products, establish naming conventions.

For example, always use the same format for describing light counts:

  • "10 Light LED Chandelier" vs "LED Chandelier with 10 Lights"

  • finish names ("Brushed Nickel" vs "Brushed Nickel Finish")

  • family names
