Add a New Collection
Want to create a new product family on the website? This guide walks you through setting up a master family collection in SharePoint so it displays on the Our Collections page.
What you'll accomplish: Create a new collection folder with the main collection image that represents the product family.
Time required: 5-10 minutes
What you need:
Access to SharePoint (Marketing Assets for 2023 directory)
Collection image file (1400 x 686 px, JPG/JPEG or WEBP)
The official family collection name

SharePoint Directory:
Documents / Website assets / Collection placeholder imagesAll family collection folders live here. This is where the backend system looks to map collection data across Business Central and SharePoint.
Step 1: Create the Collection Folder
Navigate to the Collection placeholder images folder and create a new folder.
Naming convention:
Format:
[Family Name] + CollectionExample:
Sorrento CollectionUppercase or lowercase doesn't matter to the system
Important: The folder name must be exact and spelled correctly. This is what triggers the backend system to create the collection.

Common Naming Examples:

Belluno(missing "Collection")❌
Belluno collection(lowercase is fine, but be consistent)
Step 2: Add the Main Collection Image
Upload the image that represents this collection to the folder you just created.
Image Requirements:
Dimensions:
Width: 1400 px
Height: 686 px
These dimensions are required - other sizes will be auto-rejected
File Types:
JPG/JPEG
WEBP
No other formats accepted
File Naming:
Name the file after the family name
Examples:
sorrento.jpg,belluno.jpeg,toscana.webpUppercase or lowercase doesn't impact the system
Must match the family name (not the full folder name)

Note about DPI: DPI only applies to printing and is not applicable to digital files for the website.
Step 3: Verify Your Setup
After uploading, your folder structure should look like this:

What Happens Next
Once you create the folder and upload the image, the backend system:
Detects the new folder as a triggered event
Validates the image meets requirements
Maps the collection data across SharePoint and Business Central
Syncs the collection to the website
Sync timing: Typically 10-15 minutes. Refresh the Our Collections page to see your new collection.
Important Notes & Common Issues
Auto-Rejection Notifications
You'll receive an email notification if:
Image dimensions don't match 1400 x 686 px
File type is not JPG/JPEG or WEBP
File name doesn't follow the naming convention
What to do: Delete the incorrect file and re-upload a corrected version. See troubleshooting below.
Incorrectly Named Folders
If you create a folder with the wrong name or spelling:
Don't rename it. Renaming doesn't trigger a new event in SharePoint.
Instead:
Delete the incorrectly named folder
Create a new folder with the correct name
Upload your image to the new folder
This ensures only matching family collection folders and Business Central entries get added to the database and website.
Incorrect Image Files
If you uploaded the wrong image or it has incorrect dimensions/naming:
Delete the current file from SharePoint
Re-upload the corrected image file
Don't try to replace or rename in place. Delete first, then upload the correct file.
Troubleshooting
Issue: Collection not showing on website after 15 minutes
Solutions:
Verify folder name includes " Collection" at the end
Check image dimensions are exactly 1400 x 686 px
Confirm image file type is JPG/JPEG or WEBP
Ensure image file name matches the family name
Check for auto-rejection email notification
Issue: Received auto-rejection email
Solutions:
Read the email. It tells you what's wrong
Delete the rejected file from SharePoint
Fix the issue (resize image, rename file, convert format)
Re-upload the corrected file
