Product Videos

Product videos appear on each product page to showcase the collection. This guide covers uploading, replacing, and removing product videos in SharePoint.

What you'll accomplish: Add, update, or remove product videos that display on the website.

Time required: 3-5 minutes

What you need:

  • Access to SharePoint (Marketing Assets for 2023 directory)

  • Video file (.mp4 or .mov format)

  • Family collection name


Where You're Working

SharePoint Directory:

Documents → Website Assets → Product videos → Videos

All product videos are stored in the Videos folder. The backend system maps these videos to product pages on the website.


Video File Requirements

File naming:

  • Name the video file the family collection name

  • Must match the collection name in SharePoint and Business Central

  • Example: adelfia.mp4 or ADELFIA.mp4

  • Uppercase/lowercase does not impact the system

Accepted file types:

  • .mp4

  • .mov

Important: The video file name must match the family collection name exactly (spelling-wise). Case doesn't matter, but spelling does.


Add a Product Video

Step 1: Prepare Your Video File

1. Name the file correctly

  • Use the family collection name

  • Example: If the collection is "Sorrento Collection", name the file sorrento.mp4

  • Or: Sorrento.mp4, SORRENTO.mp4 (case doesn't matter)

2. Verify file type

  • Make sure it's .mp4 or .mov

  • No other video formats are accepted


Step 2: Upload to SharePoint

1. Navigate to the Videos folder

2. Select the Videos folder

  • This is where all product videos live

3. Upload the video file

  • Click Upload

  • Select your video file

  • Confirm upload


Step 3: Verify Upload

Check that:


What Happens Next

After uploading the video:

  1. Backend detects the new video as a triggered event

  2. Maps video to collection using the file name

  3. Syncs to website - video appears on product pages for that collection

  4. Video displays on each product page within the collection

Sync timing: 5-10 minutes typically. Refresh product pages to see the video.

Replace a Product Video

If you need to swap out a video for a collection:

Step 1: Delete the Current Video

1. Navigate to the Videos folder

2. Find the current video file

  • Look for the file named after the collection

  • Example: sorrento.mp4

3. Delete the current file

  • Select it

  • Delete

  • This step is required first - don't skip it


Step 2: Upload the New Video

1. Prepare your new video file

  • Name it the same as the old one (collection name)

  • Ensure it's .mp4 or .mov

2. Upload to the Videos folder

  • Same process as adding a new video

  • Use the exact same file name as before

3. Wait for sync

  • Backend detects the replacement

  • New video appears on product pages

  • Typically 5-10 minutes


Delete/Remove a Product Video

If you want to remove a video from the website:

1. Navigate to the Videos folder

2. Select the video file

  • Find the file you want to remove

3. Delete it

  • Select and delete

  • That's it

What happens:

  • Video is removed from the website

  • Product pages for that collection no longer show a video

  • Sync happens automatically


Important Notes

One Video Per Collection

Each family collection has one video that displays across all products in that collection.

Example:

  • Collection: Sorrento Collection

  • Video: sorrento.mp4

  • Displays on: All Sorrento products on the website


File Name Must Match Collection

The video file name is how the backend knows which collection it belongs to:

SharePoint collection folder: Sorrento Collection Business Central Collection Name: Sorrento Collection Video file name: sorrento.mp4 or Sorrento.mp4

If they don't match: The video won't map to the correct collection.


Delete Before Re-Upload

When replacing videos or fixing incorrect files:

Always:

  1. Delete the current file FIRST

  2. Then upload the new/corrected file

Don't: Try to overwrite or replace in place - it doesn't trigger properly.


Case Doesn't Matter, Spelling Does

These are all the same to the system:

  • sorrento.mp4

  • Sorrento.mp4

  • SORRENTO.mp4

These are different:

  • sorrento.mp4sorento.mp4 (typo breaks the mapping)

Spelling must match exactly.


Troubleshooting

Issue: Video not showing on product pages

Solutions:

  • Verify video file name matches collection name exactly

  • Check spelling against SharePoint collection folder

  • Confirm file type is .mp4 or .mov

  • Wait 10-15 minutes for sync

  • Refresh product pages


Issue: Wrong video displaying for collection

Solutions:

  • Check video file name - it might match a different collection

  • Verify you're looking at the right collection's products

  • Delete incorrect video and upload the right one


Issue: Uploaded new video but old one still showing

Solutions:

  • Verify you deleted the old file first

  • Check that new file has correct name

  • Wait for sync to complete (10-15 minutes)

  • Clear browser cache and refresh


Common Scenarios

Scenario 1: Adding video to new collection

  1. Collection folder created in SharePoint

  2. Products set up in collection

  3. Create video file: [collection-name].mp4

  4. Upload to Videos folder

  5. Video appears on all products in that collection


Scenario 2: Updating collection video with new footage

  1. Navigate to Videos folder

  2. Delete current video: belluno.mp4

  3. Upload new video with same name: belluno.mp4

  4. New video replaces old one on website

  5. All Belluno products show new video


Scenario 3: Removing video from collection

  1. Navigate to Videos folder

  2. Find collection video: verona.mp4

  3. Delete it

  4. Verona products no longer display a video


Scenario 4: Fixing incorrectly named video

  1. Realize video is named sorento.mp4 (typo)

  2. Delete sorento.mp4

  3. Re-upload as sorrento.mp4 (correct spelling)

  4. Video now maps to Sorrento Collection correctly


File Organization Tips

Keep Videos folder organized:

  • One video file per family collection

  • Name files clearly after collections

  • Delete old videos when collections are discontinued

  • Regular cleanup prevents clutter
